Getting started
Do we have to stop using our current ERP?
Not on day one. Qaflo mirrors your existing system on a schedule, one-way and read-only, so your chart of accounts, customers, suppliers and voucher history are in Qaflo from the first sync while the old system carries on untouched. You move across module by module at your own pace. The mirror reads each ERP product through a connector written for it: another database on a product we already read is configuration, and a product we have not read before has its connector scoped in the quote. Records that cannot be attributed to a company or a customer cleanly are flagged with a reason so you can correct them at source and re-run — we will not invent a placeholder to make a row fit. Once you are ready to retire the old system, Qaflo is already holding the work.
How long does implementation take?
For a typical fit-out or contracting business, four to six weeks from the scoping call to going live. Most of that is configuring your workflow stages and approvals to match how you actually work, and migrating master data. Training is on-site and we support the first weeks of live running.
Can one system cover lead, design, quotation, contract, project, procurement, site, cost control, invoicing, accounting and handover?
That is the shape of the product, with one exception stated up front: design means the specification, the samples, the revisions and the attached drawings, not a drawing tool. The rest runs as one thread. The enquiry becomes a quotation with a BOQ, the accepted quotation opens the job with its lines and its budget already on it, the job raises purchase requests and orders, goods receipts and stock issues land cost on the job, the delivery note and installation note come off what was actually done on site, the invoice comes off that, and all of it posts to a double-entry ledger the FTA VAT 201 is generated from. Handover signs once the snags close. A quantity is typed once, by the person who first knows it.
We are a nine-person interior design company. Is this too big for us?
No, and the module gates are why. Each area switches on individually, so a small practice runs quotations, jobs, purchasing and invoicing and leaves fleet, samples and payroll off until it needs them. Cloud starts at AED 900 a month for up to five users with the first month free from go-live. What makes an ERP too big for a small team is usually the implementation, not the software, which is why setup is a fixed fee that covers configuring your stages and approvals rather than an open-ended consulting engagement.
What happens if it does not fit our business?
We will tell you on the first call. Qaflo is built for businesses that quote, build and install — if you are a trading company, an agency or a retailer, two thirds of the platform would sit idle and we will say so rather than sell you a workflow engine you never open.
How much does it cost?
Cloud, hosted by us, is AED 900 / month for up to 5 users and AED 1,500 / month for up to 10, plus one-time setup from AED 7,500, with the first month free from go-live. On your own server it is a one-time licence plus a yearly support contract, quoted per company after a scoping call. All prices are in AED and exclude VAT; 5% VAT is added where it applies. Every module is available on both, and compliance is never a paid tier. Several trade licences, a migration from an existing ERP or a larger team is quoted in writing with the scope attached. Compliance
Does it handle UAE VAT?
Yes. Tax invoices, credit and debit notes carry 5% VAT, supplier bills post input VAT, and the FTA VAT 201 return is generated box by box from your own posted documents — exportable to CSV or PDF. It is derived from real data, not typed into a template. Verify every box against your source records before filing.
Are you ready for UAE e-invoicing?
We are not an accredited service provider, and we will not pretend that is the same question. Under the phased mandate every business appoints an ASP of its own and files through it: structured XML on the Peppol network in the UAE PINT AE format, with a PDF no longer counting as an invoice. Businesses at or above AED 50m turnover appoint by 30 October 2026 and go live on 1 January 2027; everyone else appoints by 31 March 2027 and goes live on 1 July 2027. Qaflo is where the invoice is raised, not the pipe it travels down. What that gives you today is a tax invoice already built to the FTA content rules — TRN, tax on the line rather than added at the bottom, posted to a ledger the VAT 201 comes out of. What it does not give you is the PINT AE payload or the submission; both are the provider you appoint. Ask us on the call which providers we have worked alongside.
Can we track visa and labour card expiry?
Yes. Employee documents carry expiry dates and the notification engine alerts you before they lapse, in-app and over WhatsApp. It sits on the same employee record as attendance, leave and payroll.
Technical
Where is our data hosted?
Your choice. We can host it for you on our cloud, or the whole platform can run on a server in your own office, so the data is stored on hardware you own. Most ERP vendors in this bracket will only offer you their cloud.
Can the site team use it from their phones?
The web application is fully responsive and site teams use it from a phone browser today for stage updates, photos and sign-off. A dedicated field app is in development — we will not pretend it has shipped when it has not.
Does it do vehicle tracking?
Yes, and it is part of the same system rather than a second subscription. GPS units on your vehicles report live positions, trip history and idle time, and a delivery or site visit can be verified against where the vehicle actually was.
Does Qaflo write our quotes automatically from drawings?
Not today. Reading drawings and generating a priced quotation is on the roadmap and it is genuinely hard to do well, so we are not going to claim it ships. What works today is a job card with a BOQ, material planning against stock, and quotation documents that carry through to sales orders and invoices.

What support do we get after go-live?
Direct access to the team that builds the product, over WhatsApp and email during UAE working hours. There is no reseller in the middle and no offshore ticket queue — the people who answer you are the people who write the code.
